JOB DUTIES:
We are looking for a bright, responsible and professional individual to work thirty hours a week, welcoming and assisting company visitors, answering telephones and providing administrative support when needed. The job requires excellent communication skills, a pleasant personality, attention to detail and a desire to interact with people. A great deal of the office communication is done via computer so it is important that the candidate have a good working knowledge of Microsoft Outlook, Word and Excel programs.
RESPONSIBILITIES:
- Create a confident, professional and welcoming impression as the company's first point of contact
- Greet all visitors, including vendors, clients, customers and job candidates with a positive and professional attitude
- Answer incoming telephone calls, respond to requests, take messages or accurately forward calls to the appropriate extension
- Log in all visitors and print electronic badges paying attention to detail including the correct spelling of names and companies
- Track and sign out all company visitors as they leave the building
- Assist in a variety of administrative support services such as mailings, filing, and online research
- Oversee candidate paperwork including the accurate completion of Non-Disclosure Agreements
- Track interviews to ensure they run smoothly, check that conference rooms are booked in Outlook and employees are informed of any schedule changes
- Work closely with the Office Manager and communicate any facility issues

- Good conflict resolution skills in order to handle difficult situations in a polite and professional manner
- Effective problem solving skills
- Organized and detail-oriented
- Computer and Internet literate with a working knowledge of Microsoft Outlook, Word and Excel
- Follow directions and work independently to completion
- Able to multi-task and meet deadlines, able to reprioritize activities on a daily basis
- Regular attendance and punctuality is essential
- Honesty, humility, integrity, intelligence, and accountability
EDUCATION AND EXPERIENCE:
- Previous experience in reception or administrative support position
- B.A. or A.A. degree preferred
